Job Summary


The Division of HIV, Infectious Diseases, and Global Medicine at Zuckerberg San Francisco General, a high impact, exciting program at a major teaching hospital of the University of California, San Francisco (UCSF), is recruiting an Executive Analyst.

This key role will serve as project coordinator for the Division Chief's Office. The position will manage multiple complex projects while also prioritizing and coordinating communications on behalf of the Division Chief. The position will triage and prioritize in a fast-paced environment, work independently with minimal supervision, and possess skills in a variety of technological applications (eg Adobe Acrobat, Adobe Creative Suite (Illustrator or Photoshop) and EndNote or similar programs). This role will also include working on how our Division adapts and incorporates large language models and other AI into our administrative, clinical and research operations.

The position requires a well-organized, proactive, resourceful, approachable, flexible, efficient individual who enjoys supporting a large and diverse division. Crucial to this role is the ability to interact with a wide range of audiences with diplomacy, confidentiality, and professionalism. Excellent written, web and verbal communications skills with experience working with a wide variety of audiences in Academics, Government, Community, Private Sector, and Foundations. Strong decision-making ability and capability to learn the nuanced understanding of university guidelines and processes, attention to detail, and responsiveness with high productivity are also essential attributes.

Details of the position include coordinating high profile projects and events, exercising independent judgment and critical thinking in managing multiple assignments on tight deadlines; framing, analyzing, and solving problems; drafting meeting agendas, materials, and presentations; and other duties as assigned by the Division Chief and the Division Manager.

In addition, the position will serve as the primary webmaster for the division. This requires the ability to communicate internally and externally to a wide range of audiences.

Department Description

The Division of HIV, Infectious Diseases and Global Medicine at the University of California San Francisco (UCSF) is an internationally recognized, mission-driven global leader in clinical care, research, and education. With its home-base located at Zuckerberg San Francisco General Hospital and Trauma Center (ZSFG), The Division's work leads to high-level policy changes, is featured frequently in the media, and it is often visited by numerous international, national, state, and local dignitaries and delegations. The Division consists of approximately 36 faculty members, 11 fellows/postdoctoral scholars and 170 academic and staff employees. It is the largest Division of the Department of Medicine (DOM) at ZSFG, with a total expenditure budget of approximately $52 million.




Required Qualifications

• BA/BS degree with a major in a related field and 3+ years of experience in communications, administrative analysis or operations research; administration/executive analysis experience in a university and research environment; and/or equivalent experience / training
• Strong interpersonal, active listening, critical thinking, persuasiveness, advising and counseling skills and ability to handle sensitive information.
• Excellent written and verbal communication skills. Strong communication skills with electronic web based email with wide audience in academic, government, community, private sector, Foundations.
• Knowledge of a variety of administrative operational activities including event planning, basic fundraising processes, risk management planning, and website design.
• Solid knowledge of common University-specific computer application programs.
• Ability to use discretion, maintain confidentiality, and exercise judgment and make sound decisions independently
• Strong skills in short-term planning, analysis, problem-solving, and customer service. Strong project management skills
• Combination of education and experience in providing and managing administrative support to a Division Chief, Director, or Senior Faculty member
• Experience with preparation of communications including announcements, PowerPoint presentations, agendas for meetings and reports. Writing and editing skills for documents including slides, graphics and photos
• Demonstrated advanced skill with standard software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook Mail, Teams), Adobe Acrobat, Adobe Creative Suite (Illustrator or Photoshop), and EndNote or similar programs.
• Demonstrated skill and experience with large language models and other AI into our administrative, clinical and research operations.
• Professional experience with social media, web development and maintenance
• Strong time-management, organizational, coordinating and prioritization skills
• Strong attention to detail; generation of error-free documents; proof-reading of documents
• Demonstrates good judgment, ability to analyze problems, determine solutions, and make decisions based on relevant information and established procedures.
