Event Coordinator/Analyst - Western RegionOverview:The Western Region Event Analyst will assist in all aspects of client event activities, from concept to execution, for the Western region of J.P. Morgan's US Private Bank. The Analyst will work on multiple event projects simultaneously, ranging from large events, to intimate roundtable dinner discussions. In addition to Western Region Private Bank events, the Analyst will assist in a variety of Asset Management events on a national and global scale. The planner will play a support role in the event strategy and execution for the Region bringing creative ideas, suggested venues and proposed content to the market with thought to strategic execution. In order to ensure a consistent and distinctive experience for clients, this role requires interaction with colleagues on the global events team, the US Private Bank Field Marketing Team, bankers and product partners, and senior management.The role reports to the Western Region Head of Private Bank Events (who is based in Los Angeles) and is a Full time position.Responsibilities include:* Overall administrative support for the Western Region events team* Management of confidential client data, various event budgets, calendars, and operational efficiencies* Onsite event support staffing which may include registration desk management, distribution of materials, oversight of presentations/AV needs, speaker handling, and coordination with vendors* Opportunity to manage small local client-facing programs as appropriate* Pre-event tasks such as briefing templates, production of name badges, place cards, menu cards, printed materials; seating assignments for events; packing and shipping of event supplies* Post-event tasks such as final data management and event debrief documents* Regional budget support including invoicing and expense management* Maintain event supplies inventory, ensuring all necessary items are in stock and well organized* Participate in weekly regional team meetings, budget calls, and multiple banker meetings providing event updates* Assist with vendor relationships, maintaining contacts at venues and market contacts* Manage multi-city event series schedules across the West* Assist in researching event venues and obtaining event proposals* Responsible for weekly business communications including event opportunities and RSVP reports* Support at global events including office managementSkills required:* A minimum of two to three years event planning experience mandatory* Must be able to multi-task and work under tight deadlines* Excellent oral and written communications skills* Excellent organizational skills and extreme attention to detail* Ability to prioritize tasks and communicate clearly amongst a variety of personalities* Excellent/advanced Microsoft Excel, Word & PowerPoint* Ability to master various database products* Ability to work early morning and late evening events* Must be able to travel* Financial services experience is a plus
