We do our best in ensuring that Business Wire's objectives are fully supported on a day-to-day basis and take pride in supporting Business Wire's entire population in 7 countries, with over 20+ offices worldwide. About the RoleThe Office Services Supervisor will report to the Corporate Facility Manager and will provide a high level of customer support. He or she will be part of a collaborative team responsible for managing facilities throughout the organization.Role Responsibilities

  • Help oversee all Business Wire locations, ensuring facilities tasks are completed and sites are operating without incident
  • Help oversee and manage the San Francisco Administration Group. Monitor work load and ensure work requests are appropriate and carried out according to departmental procedures and as delegated. Respond to elevated complaints in a tactful and expedient manner
  • Maintain a high level of collaboration and coordination with other managers within assigned facilities including meetings, events & engineering services
  • Oversee Corporate AMEX card program and Travel and Expenses
  • Develop and maintain great working relationships with landlord and property management representatives and external service vendors
  • Have a keen knowledge of building management's policies and procedures
  • Manage building vendors, janitors, and maintenance staff. Provide oversight and support to customer functions and events as needed.
  • Ensure operational vendors meet service delivery standards.
  • Conduct regular vendor performance evaluations and document outcome.
  • Negotiate renewals and new contracts.
  • Work with vendors so that services and materials are correctly provided.
  • Talk regularly with department managers and executive admins to understand needs and act to resolve issues that may arise
  • Ensure performance of facilities maintenance inspections of public and common areas, by making sure "walk-throughs" are done, and there is compliance with local health and safety regulations. Model company safety policies and participate in Emergency Response Team efforts. Act as Incident Commander
  • Responsible for communicating to site occupants regarding facilities issues, news, and/or updates
  • Develop and maintain standards and processes in support of facilities
  • Work with Safety and Security on all relevant issues
  • Establish and manage facilities budget and report financial information. Provide metrics as requested
  • Maintain professional appearance of building lobby, reception area, and food service areas. Manage Green Cleaning and Recycling programs through vendor relationships
  • Maintain current knowledge base of Company products and information by reading Company news, announcements, and product brochures
  • May coordinate special projects and departmental activities and meetings. May serve on cross-functional teams or local site committees. May be involved in building re-locations
  • Manage and execute all mail needs including shipping, receiving and distribution functions. Shipping includes domestics and international and handling large packages
  • Adjust and replace facility infrastructure consumable items such as water tanks, filters. Restock consumable goods for general use such: paper towels, toilet paper, soaps, and sponges
  • Resolve any minor furniture and equipment repairs. Including routers, printers, standing desks, etc
  • Provide substantial administrative support to different team members and departments
  • Help Oversee company and office-related policies and processes
  • Move coordination project management
  • Phone system and voice/data cabling supportSkills and Qualifications
    • AA or AS degree, OR alternative to a degree, an additional 5 years of relevant professional experience
    • Keen understanding of facilities operations, vendor management and customer service
    • Experience building and managing a team or department
    • Phone system, voice and data experience a plus
    • Ability to communicate complex project execution strategy and plans clearly to internal and external stakeholders and lead diverse groups of staff and contractors
    • Real Estate, leasing, move-management experience
