Five Keys Overview
Five Keys was founded in 2003 by the San Francisco Sheriffs Department as the first accredited charter high school in the nation to provide diploma programs for adults in county jails. Today we are a much different social justice non-profit agency that has expanded its charter schools into 9 counties, in 24 jail locations and over 80 community learning centers. In addition to our schools, now we also run multiple homeless shelters, employment programs, programs for the unsheltered, reentry programs and housing for women suffering from immense injustice.

QualificationsJOB SUMMARY
The Intake Coordinator acts as a resource, ally, and advisor to shelter participants, and staff, supporting the routine operation of the shelter by maintaining all databases of information, acting as reception and as a resource for clients' needs. The Intake Coordinator is responsible for ensuring that all database entries and reports are accurate; assisting with monthly invoicing and reporting; coordinating appointments; and managing exit spreadsheets and other case management tracking tools The intake coordinator works closely with the sites care management team to ensure all intake packets are completed, all site rosters and tracking are correct and the site information is up to date.

The Intake Coordinator position reports to the Site Director and is accountable for the nuts and bolts that make our shelters run smoothly and efficiently. This position requires a high level of organizational skills, data entry and customer service to our vendors, partner agencies and more.

We are looking for someone who insists on maintaining a positive attitude and enjoys supporting a diverse group of people. This job is for you if you are detail oriented, create a positive environment, able to be self motivated and think outside the box.
JOB DUTIES AND RESPONSIBILITIES


  • Provide a welcoming and supportive environment by greeting all visitors for clients and colleagues
  • Perform reception duties; greet guests, answer phones, screen and route calls, general admin support.
  • Supporting all administrative staff as needed while providing effective communication to various departments
  • Maintain sign-in/out logs and verify sign-in sheets daily to ensure that clients are active and enrolled as well as completing the enrollment of new clients
  • Tracking staff and visitors present at the shelter
  • Logging within the database client status, client behavior issues, intakes, and site roster
  • Responsible for accurate tracking of all guests entry/exit on the roster as well as in multiple databases
  • Assist in preparing monthly reports or any reports as requested
  • Act as liaison with staff/clients regarding any operational needs
  • Other duties as assigned

    KNOWLEDGE AND SKILLS

    • Experienced Administrator
    • Previous database usage
    • Knowledge of interpreting data to make complex spreadsheets.
    • Organized and efficient with high attention to detail with the ability to handle multiple deadlines and tasks simultaneously
    • Experience with Microsoft Office (Word, Excel, and Powerpoint), Google Suite (Docs, Sheets, and Gmail) and phone usage are required
    • Interacting with diverse community partners, clients, and staff with even broader heritage and backgrounds in a calm demeanor
    • Willingness and ability to grow professionally, be accountable, and expand skills
    • Learns and uses information systems effectively and efficiently. An overall eagerness to learn new things while adapting to constantly changing circumstances
    • Advanced problem-solving skills; tactfully address and resolve questions/concerns
    • Clear Communicator
    • Ability to maintain strong and appropriate boundaries with personal identifying information when interacting with guests, community or program partners, and while at the shelter
    • Exceptional written communication skills; ability to express complex ideas with clarity and precision in written documents
    • Fluent Spanish speaker preferred

      EDUCATION AND WORK EXPERIENCE

      • High school diploma or GED
      • Prior work with people dealing with mental health, disabilities, or substance abuse issues is preferred

        PHYSICAL REQUIREMENTS

        • To promote the health and safety of its employees, those we serve and our local communities, Five Keys requires that all employees must be fully vaccinated against COVID-19 and/or adhere to all weekly testing and safety measures. Employees may also request and receive approval for an exemption from this policy. Exemptions are granted to accommodate a medical condition or sincerely held religious belief.
        • Must wear provided PPE (Personal Protective Equipment) and adhere to all safety guidelines and requirements, when needed
        • Occasional reaching with hands and arms
        • Travel to multiple sites required
        • Frequent and prolonged standing, walking, and sitting
        • Long periods of walking, sitting at a desk and/or computer station
        • Lifting items that weigh up to 25 lbs.; reaching, bending, carrying and stooping within the daily routine of tasks and activities

          ADDITIONAL REQUIREMENTS
          This position is contingent upon:

          • Submitting proof of clear TB results. Results dated within 60 days prior to hire date are acceptable

            WORK ENVIRONMENT

            • Moderate to high noise level
            • Work environment varies from site to site
            • Some personal safety risk working in high-crisis environments
