DEPARTMENT: School of Law / JD Flex Program REPORTS TO: Director of
Administration and Instructional Support STATUS: Exempt SALARY
RANGE: Depending upon qualifications and experience. BENEFITS: The
University's comprehensive benefits program. DAY & HOURS: Monday
through Friday, 37.5 hours per week. Schedule will require Saturday
hours on JD Flex weekends (two weekends per month) during the fall
and spring semesters. This position is primarily in person
on-campus, with limited possibility for working remotely. BASIC
FUNCTION AND SCOPE OF JOB: The Senior Program Coordinator reports
to the Director of Administration and Instructional Support and is
responsible for providing administrative support services for the
law school's full-time and adjunct faculty, with primary focus on
the JD Flex weekend program. This position coordinates a variety of
instructional services for students involving preparation of course
materials, use of classroom technology, and the administration of
course evaluations, mid-terms and exams. The Senior Program
Coordinator organizes events, conferences and symposiums for a
variety of academic programs and collaborates with other law school
departments to facilitate communication between the law school
faculty, Dean's Office and students. ESSENTIAL FUNCTIONS: Serve as
front line staff in the Law Faculty Center: answer general
questions about administrative and academic policies of law school;
respond to a high volume of telephone, email and in-person
inquiries; maintain tidy and welcoming front office appearance;
proofread, format and process correspondence; schedule
appointments; create, update, and maintain a wide range of files
and data records; maintain and update web content for the Law
Faculty Center and academic programs; order supplies, sort mail and
provide back-up staff support in the Dean's Office as needed.
Provide administrative support to approximately 50 full-time and
adjunct faculty throughout the academic year: collect course
syllabuses, process book orders, prepare instructional materials
and handouts, and respond to a wide variety of faculty support
requests throughout each term. Assist JD Flex faculty in
maintaining their course content on the CANVAS learning management
platform and manage online communications with JD Flex students.
Provide up-to-date information regarding program dates and
deadlines, including the academic calendar, the schedule of classes
and exams, and other program requirements. Coordinate JD Flex
weekend logistics and operations, including room scheduling,
classroom technology, catering, and other services and programs.
Assist the faculty director of JD Flex in coordinating
co-curricular activities for the JD Flex program, including
orientation, workshops, and related program activities. Coordinate
the collection, review, production and delivery of law school exam
documents during mid-term and final exam periods - in both print
and electronic formats. In collaboration with the law school's exam
coordinator, facilitate the scheduling of take-home and
accommodated exams and assist with exam proctoring. Advise faculty
of exam policies and procedures and assist with grade calculations.
Assist in the administration of course evaluations; collect and
process forms and petitions; analyze data and prepare summary
reports. Serve as liaison to the law school academic dean, student
services and registrar's offices. Organize and manage annual
conferences and symposia. Contact contributors, coordinate travel
and logistical arrangements for guest speakers and lectures;
facilitate classroom and event technology support as needed;
prepare promotional materials and flyers; process invoices and
reconcile expense reimbursement forms. Type, edit and/or assist
with production and maintenance of various academic and scholarly
publications, journals and handbooks. Build faculty blogs and
maintain web content for a variety of externally focused faculty
activities and program micro-sites. Facilitate and provide
administrative program support to on-campus clinics, centers and
institutes. Facilitate communication with faculty at other law
schools and academic institutions as appropriate. Perform related
duties as assigned. EXPERIENCE: --- Knowledge of: Proficiency using
office machines, including word-processing and database
applications in a networked PC environment. Proficiency in the
Microsoft Office Suite required. Familiarity with Adobe InDesign or
other publication design software helpful. Familiarity with TWEN,
CANVAS or other instructional management systems helpful.
Principles and best practices of expense tracking, data processing
and record keeping. --- Ability to: Work independently, organize
simultaneous projects, demonstrate initiative, and exercise
professional judgment under minimal supervision. Maintain the law
school's strict confidentiality policies. Cordially handle a
variety of faculty and student questions or concerns with
resourcefulness and accuracy. Think analytically, attend to
details, compose high quality business correspondence, edit written
materials, and solve complex problems. Maintain effective
interpersonal relationships emphasizing efficiency,
professionalism, and student service. Must be punctual.
QUALIFICATIONS: Experience and Education: Minimum two years related
experience. Prior customer service or administrative experience
with diverse populations in an academic environment preferred.
Bachelor's degree or the equivalent from an accredited college or
university required. Excellent written and verbal communication
