Job Summary

Serves as a clinical resource and liaison for patients and their families and assists with navigating all aspects of the healthcare system at Regional Medical Center in San Jose. Provides clinical education in regards to treatment and liaisons with the patient's clinical service providers to address specific concerns. May have in-depth specialty expertise and focus.

S/he provides support to all functions of the administrative teams including but not limited to:telephone encounters, referrals, APeX in-baskets, scanning, filing, authorizations, and billing.

The PC 3 is responsible for the maintenance of all routine clerical operations and communications. S/he adheres to the UCSF House and Telephone Standards and is sensitive to the needs of patients, staff and providers at all times.The PC 3 is a team player who works closely with others and who is flexible in dealing with the changing priorities.S/he is a self-reliant individual who synthesizes his/her knowledge of practice operations in order to problem-solve, prioritize and facilitate complex transactions in the course of his/her daily activities.

This position makes a difference for patients in an outpatient care unit by providing excellent customer service, facilitating and ensuring the accuracy of the information flow between medical, hospital staff and departments to maximize unit efficiency. The PC 3 is required to work at any UCSF campus as needed and scheduled.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.

For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

The Department of Neurological Surgery at UCSF is home to leading physicians and scientists dedicated to treating patients with neurosurgical disorders and to the search for better therapies and cures. Required Qualifications

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Minimum 3+ years of related experience.
  • Strong general clinical knowledge in a variety of modalities, or significant expertise in a specialty area.
  • Ability to assess patient needs and make appropriate referrals for ancillary support services and programs.
  • Advanced skills in assessing patient's grievances and locating appropriate resources to get issues resolved.
  • Skills to intervene and assist with patient's questions or concerns about treatment plan.
  • Excellent customer service skills, working with a high volume and high expectations customer base.
  • Ability to support patients with a wide variety of clinical and non-clinical needs.
  • Ability to work in a complex, multi-divisional environment with the skills to establish priorities, set objectives and achieve stated goals.
  • Ability to utilize project management tools.
  • Excellent analytical and problem-solving skills.
  • Clear and concise communication skills to teach patients about complex, sensitive clinical issues.
  • Proficiency with Windows-based software including Microsoft word, Excel, Outlook.
  • Knowledge of computer systems and software used in functional area. Proven ability to navigate through multiple patient records systems. Able to sit at a computer terminal with telephone headphones for extended period of time.
  • Ability to work with minimal supervision.
  • Basic math skills required.
  • Within six months of start date, based upon completion of training, the Supervisor, completes the proficiency checklist with the employee. This includes the following areas if applicable:
    • Referrals (Incoming referral entry) and handling all referral WQs
    • Pend orders
    • Pend smart sets
    • Schedule surgeries
    • Work applicable work queues
    • Enter/edit outside test results
    • Messaging (CRM)if applicable
    • 2nd calls in CRMif applicable
    • Telephone encounters
    • My open encounter
    • Staff message
    • New message
    • Route Patient advice request to providers (My Chart)
    • Patient Schedule (My Chart)
    • Letters
    • Pools
    • Patient look up

    • Scanning Preferred Qualifications
      • Demonstrated experience in health care (may include medical, dental or veterinary) in the following areas: patient scheduling, insurance verification, medical record data abstraction, or patient financial services.
      • Prior experience with appointment, ancillary service or surgical scheduling or a combination of all three.
      • Bi-lingual or multi-lingual capability (Spanish, Cantonese, and Russian) strongly preferred.
      • Prior experience with EPIC.
