Responsibilities The Role--- Executive & Coordination Support: 65% of Time Provide key support for three Leadership Team Executives (i.e., SVP of Ops, Head of U.S. Sales, SVP pf International) Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information for Executives. Complete a broad variety of administrative tasks that facilitate executives' ability to effectively lead their teams including assisting with special projects, collecting, and preparing information for meetings with staff and outside parties, composing and preparing correspondence, making travel arrangements and completing time and expense reports. Provide 'gatekeeper' and 'gateway' role, providing a bridge for smooth communication between Operation/Sales Executive Directors and Operation/Sales Team. Maintain professionalism and strict confidentiality with all materials and exercise discretion when interfacing with the business. Company-wide Event Management: 30% of Time Help maintain company-wide calendar and help coordinate cross functional special calendaring events, such as offsites and interviews with outside consultants (leadership, ESD, etc.) Organize company-wide wellness activities (e.g. exercise, yoga, massages, mental health) and other company events. Ensure events are completed smoothly and be able to resolve any problems that might occur. Analyse events success and come up with suggestions to enhance future events. Space Management Oversight: 10% of Time Partner with Facilities Manager to coordinate, arrange, and optimize employee space assignments to enhance collaboration. Support VP of People with space planning and future of work strategy to foster an effective and connected in-office culture. Qualifications What are we looking for? Education: High school diploma/GED required. Experience: 5+ years of experience supporting executives. 3+ years of experience planning events. Skills: Time Management and communication is key in this role. Expert on problem solving and decision-making. Enjoys event planning and has great attention to detail. Must have Strong Microsoft skills when using PowerPoint, Word, Teams, and Outlook. Proven track record of effectively interacting with senior management. Ability to work strategically and collaboratively across departments. Effective, versatile and action-oriented. High level of integrity and discretion in handling confidential information. A terrific work ethic accompanied by an ever-positive, get-it-done attitude. Sound judgment and flexibility to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines with little to no direction.
