Job DescriptionREPORTS TO: Lead Executive AssistantPOSITION SUMMARYEnergy Innovation is seeking an Executive Assistant to join our growing Climate Imperative team.   • Complete a variety of administrative tasks for the Executive Director of Initiatives (ED) and Senior Director (SD) including managing an active calendar of appointments; completing expense reports; composing and preparing sometimes confidential correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Work closely and effectively with the ED and SD to keep them apprised of upcoming commitments and responsibilities, following up appropriately to ensure the schedule is followed
  • Serve as the ED and SD's first point of contact, acting as a gatekeeper when necessary
  • Prepare materials for meetings, including research, agendas, and presentations as requested
  • Attend key meetings with the ED and SD as requested to take notes, and ensure follow up with applicable action items
  • Assist in planning and organizing team events and celebrations
  • Build an in-depth understanding of Climate Imperative Foundation and work with each of their executives to know how to prioritize their time, anticipate needs, and address issues before they arise
  • Maintain relationships and communication with direct reports and other key stakeholders for the ED and SD
  • Works with the Chief of Staff to execute the priorities of the ED and SD
  • Greet and welcome office guests in a welcoming manner, help to provide an exceptional guest experience, and inform appropriate staff of guest's arrival
  • Collaborate with EA team with regards to scheduling priorities
  • This is a hybrid role and will be expected to be in the office between 1 and 3 days each week based on business need; we are currently working in office 1 day a week and plan to be in 3 days a week by year endSKILLS & EXPERIENCE
    • 4+ years of experience providing administrative support to senior level staff
    • Experience calendaring in multiple time zones
    • Ability to prioritize and be flexible in a fast-paced, constantly evolving, and collaborative environment
    • Ability to meet strict deadlines
    • Mastery of Microsoft Office tools such as Outlook, Excel, Word, and PowerPoint
    • Advanced written and verbal communication skills
    • Excellent customer service
    • High attention to detail
    • Strong project management skills
    • Interest, passion, and commitment to reducing climate change
