the way the world works. We are looking for an Executive Assistant
to provide administrative support to two senior leaders in our
Brand and Consumer organization. You will be responsible for
skillfully interacting with management within and outside of the
company, comfortably communicating with customers, vendors and
visitors and flawlessly handling confidential and critical details.
Responsibilities: Coordinate meeting responsibilities (logistics,
action items, note-taking, preparing agendas and content for
meetings)Plan, organize and manage multiple calendars (resolve
overlapping commitments, protect time for priorities, and
anticipating their needs)Plan, arrange and manage logistics for
special team events such as team all-hands, off-sites, or
teambuilding activitiesAct as team culture champion, drive team
morale, and encourage team engagementManage and reconcile expense
reports, purchase and procurement requisitions and contracts within
time constraintsUnderstanding the teams' budget and experience with
project and budget management & procurement processMaintain email
distribution lists / aliases and org charts for the teamsAct as the
point of contact as a space champion for the teams located in the
SF/Sunnyvale OfficeObtain an understanding of internal structures
and operations of the organizationMaintain the cadence of ongoing
team meetings and culture activitiesMaintain an advanced degree of
confidentiality along with excellent judgement, discretion and a
high degree of maturity/professionalismUnderstand the urgency and
priorities of your leaders and stakeholders, routinely needing to
multi-task with little to no directionManage special projects, as
agreed with manager(s)QualificationsBasic Qualifications: 5+ years
of experience working at the senior level in an administrative
rolePreferred Qualifications: Experience supporting multiple
leaders of large teamsAdvanced knowledge of MS Office (Outlook,
Word, PowerPoint, and Excel) and cloud-based applications
(SharePoint, Allocadia)Ability to professionally interact with
senior leaders, business partners, and vendorsThrives in a
fast-paced, demanding environmentAbility to effectively manage
time, prioritize tasks, and work within deadlinesDemonstrates a
proactive attitude and a willingness to take on additional project
workAdapts to changes quickly and can learn and adopt new
technologies and be flexible with new systems, tools and
processesDemonstrates ability to be proactive, take initiative,
exercise good judgment, discretion and confidentiality in all
tasksCoordinate all travel arrangements, as needed
