Administrative Coordinator, Diller Teen FellowsReports to Executive Director, Diller Teen Fellows
ORGANIZATIONAL OVERVIEWThe Diller Teen Fellows (DTF) program was established in San Francisco by the Helen Diller Family Foundation, a Supporting Foundation of the Jewish Community Federation and Endowment Fund, with the first cohort of the program in 1998. Since then, the program has expanded to include 16 partnerships and 32 participating communities in seven countries. Each community selects a cohort of twenty teens to participate in the yearlong Fellowship experience.
Today, Diller Teen Fellows is recognized as a premier identity-building and leadership development program for Jewish teens. The program provides a unique model for experiencing Jewish pluralism and Peoplehood. Diller Teen Fellows has a network of over 4,000 alumni leaders actively engaged in improving the future of their communities, Israel, and the Jewish people.
POSITION SUMMARYProvide overall administrative support to the international Diller Teen Fellows program and the Diller Teen Fellows (DTF) Executive Director and senior staff/program professionals. Coordinate administrative needs, including making travel and accommodation arrangements as needed; processing expense reports, contracts, and vendor payments; managing and updating the Diller Teen Fellows website, calendar, and presence on other online marketing platforms; ensuring brand consistency of all printed materials created at the national/international level.
KEY RESPONSIBILITIES:

  • Manage internal and external DTF daily communication via email
  • Manage travel schedules and make all travel arrangements for DTF professionals in North American as needed, including accommodations, cars, travel, communications with hotels, and other logistics
  • Work with Executive Director and JCF accounting department on matters connected to budget, grant distribution, wire transfers, and payment requests
  • Ensure accurate and timely budget recording, reporting, reconciliation, reimbursements, etc.
  • Manage and ensure accuracy for the Diller Teen Fellows annual global calendar
  • Manage and update the Diller Teen Fellows website and presence on other online marketing platforms
  • Ensure branding accuracy of all printed materials including publications and swag ordered by International Diller Teen Fellows (IDTF) professionals
  • Help coordinate international seminars in North America including working with vendors and conducting research to help identify locations and vendors
  • Perform general administrative clerical duties, including assisting with meeting and event arrangements, drafting of memos and letters, filing correspondence, answering and fielding telephone calls
  • Attend annual PLC event to assist with administrative needs (requires traveling within North American for five days, typically in the fall)
  • Manage program databases
  • Support DTF evaluation efforts by producing feedback reports/satisfaction surveys (based on the annual calendar year and using existing templates)
  • Perform other duties as needed
    EDUCATION OR TRAINING EQUIVALENT
    • BA/BS degree preferred
    • 3-5 years of experience in an administrative role within an office setting
      SPECIAL QUALIFICATIONS
      • Must be a team player who is enthusiastic to work in a multicultural/cross-cultural environment
      • Excellent organizational skills with attention-to-detail and accuracy, and the ability to work independently
      • Ability to meet deadlines and be flexible as needed to work with a supervisor who based in Israel (with a ten-hour time difference)
      • Ability to handle confidential materials.
      • Computer skills including: MS Office (Word, Excel, Outlook, PowerPoint), form-stack, WIX, and Salesforce required
      • Excellent verbal and written English-language communication skills required
      • Professional demeanor, social skills, and integrity required
      • Marketing or Public Relations experience preferred
