Job Description:

The Administrative Manager uses skills as a seasoned, experienced administrative operations professional to manage, plan and administer the operations of a small to mid-sized academic or non-academic department or organizational unit with limited scope. May report to a Chair, Director, or a higher level Administrative Operations professional or manager. Perform short and long-term planning for the organization. May supervise staff or students. Demonstrates good judgment in selecting methods and techniques for obtaining solutions. Comfort with technology to assist with planning, coordination and management.

The Administrative Manager will serve as an executive assistant to the laboratory director and assist in management of a basic science laboratory in the Department of Microbiology u0026 Immunology. The Administrative Manager will play a critical role as a liaison with the Innovative Genomics Institute (IGI), which is a joint institute of UCSF and UC Berkeley, where the lab director serves as scientific director of medicine. The Administrative Manager will work to independently formulate and execute tasks and strategies that support the Doctor overall goals. The Administrative Manager will have primary responsibility for the Doctor executive coordination, lab administration, grants management as well as management of the Doctor research activities. The position also entails coordinating the Doctor responsibilities as the Scientific Director at the IGI.

The primary functions of this position include administration of grants, personnel and lab center administration, event planning, coordination of philanthropic efforts for UCSF and IGI, and executive coordination for the lab / institute director.

The Department of Microbiology u0026 Immunology is a basic science department within the School of Medicine (SOM) that performs scientific research, training and teaching at Mission Bay and Parnassus Heights. Research in the department focuses on areas related to infectious diseases, immunology, and cancer. There are 18 full-time faculty members in the Department. Our department also provides advanced research training to more than one hundred Postdoctoral Fellows. Graduate students working towards their Ph.D. degree are enrolled in the Herbert W. Boyer Program in Biological Sciences (PIBS) or the Biomedical Sciences (BMS) Graduate Programs, depending on their research emphasis.

The Innovative Genomics Institute (IGI) is jointly administered by UCSF and UC Berkeley and is composed of diverse researchers with a powerful combined expertise. After the development of the CRISPR-Cas9 system for rewriting DNA, the IGI saw the potential of applying this technology to solve some of humanity s greatest problems. IGI scientists conduct world-class research, driven by the real possibility to cure human disease, end hunger, and protect the environment.

Required Qualifications: Bacheloru0027s degree in Finance, Accounting, Business Administration or a related field and three or more years of experience in administrative analysis or operations research, or an equivalent combination of experience / training
Advance knowledge of MS Office including Word, Excel, Outlook and PowerPoint with proven ability to use tools as an efficient and effective means of preparing and presenting project outcomes
Proven ability to communicate with diverse groups including excellent written, verbal and problem solving skills
Interpersonal skills including the ability to motivate, negotiate and collaborate with colleagues, vendors, donors, students and others in a diverse institution. Ability to work both independently and as a member of a team
Highly organized and advanced ability to prioritize projects to meet the demands and deadlines of a fast-paced and dynamic work environment

Preferred Qualifications: One to two years of writing experience in an academic scientific setting
Experience managing and administering budgets
Thorough knowledge of University rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management
Thorough knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees
Knowledge of common University-specific computer application programs; and the ability to use PC and Mac computers
Familiarity with National Institutes of Health (NIH) and DHHS Grants Policy Statements and OMB circular; era Commons,, Faslane, Proposal Central, and other grant portals
Previous program development responsibilities in a scientific setting
Experience with PubMed and PubMedCentral, MyNCBI and EndNote
Familiarity with UC academic and staff polices an procedures or those of an equivalent institution
Experience with UCSF Financial systems
