The Senior Workflow Coordinator is a member of the on-site Williams Lea team delivering exceptional customer service at our client-- - -s location. Responsibilities include workflow coordination in reception services, conference room set-up, hospitality and facilities assistance. This is a professional and fast paced environment. The ideal Senior Workflow Coordinator should have an outgoing personality to warmly greet and assist visitors and firm employees, ensuring their needs are anticipated and met, while managing the workflow of the team.-- -Job dutiesWorkflow Coordination/Team Lead: -- --- --- --- - Coordinate workflow within the team, prioritizing requests, and delegating duties to associates. -- --- --- --- - Assist the team in completing large jobs (e.g.: large meetings or high volume of meeting requests).-- --- --- --- - Ensure team provides outstanding service to client, while building strong customer relationships. -- --- --- --- - Immediately escalate any operational problems or issues to Lead, Supervisor, or Manager.-- --- --- --- - Communicate with manager and client on conference room scheduling conflicts.-- --- --- --- - Maintain all logs and reporting documentation as required/scheduled.-- --- --- --- - Make sure that team is always following standard operating procedures.-- --- --- --- - Train new employees on policies and procedures. Reception/Events-- --- --- --- - Greet clients and visitors to the office with warmth and professionalism. -- --- --- --- - Provide concierge-style support to staff, clients and guests.-- --- --- --- - Make conference room, catering, hoteling office and visitor office reservations using reservation software and calendars.-- --- --- --- - Check conference room and meeting scheduler throughout shift and monitor any changes to ensure meetings are set up accurately.-- --- --- --- --- --- - Clean up and re-set conference rooms after use. -- --- --- --- - Manage visitor card keys and parking validations and keep records/logs as required.-- --- --- --- - Reserve and manage hoteling office spaces and re-stock visitor offices in between use.-- --- --- --- - Assist with reception coverage, including managing multiple phone lines and visitor check-in.
