Job Description:

You will work in our San Francisco office as part of our local office services team. Our office services team performs a variety of activities that collectively contribute to the functionality and appearance of the office.You will play an integral, customer service-focused role supporting our colleagues in areas of reception, event planning, on-site technical support, facilities management and connectivity.You will perform a variety of on-site administrative duties focused primarily at reception.In this role, your responsibilities will include, but are not limited to, room scheduling, greeting and receiving external visitors, answering phones, coordinating building access for colleagues and visitors, ordering and receiving catering for events, and answering a high volume of emails. You will also support fellow team members in their responsibilities including basic mail room tasks, document printing and similar materials production, managing office and pantry supply inventory, and cleaning client rooms and offices.You will share the responsibility for ordering catering and handling food/beverage set up for in-office meetings and managing kitchen and office supplies inventory. In addition, you will work with the team to proactively identify potential facilities-related issues and opportunities for improvement and liaise with building management and external vendors for solutions (e.g., HVAC, janitorial services, electrical and various repairs). You will also serve as a point-of-contact for IT to assist with basic IT responsibilities and help deploy office technology equipment.* 4-year degree preferred; hospitality background strongly encouraged* 1+ years of general office experience preferred, ideally in a professional services environment; customer service/hospitality experience is also welcome* Proficiency in MS Word, PowerPoint, Excel and Outlook preferred; ability to learn other applications* Strong initiative and positive attitude (proactive, collaborative, service-minded)* Ability to expand role beyond responsive support to proactive contributions and ownership for administrative tasks; ability to work independently* Excellent judgment/decision-making skills; high tolerance for ambiguity* Excitement to cultivate strong relationships with colleagues; energized by working in a collaborative team environment* Strong communication skills, both oral and written* Flexibility to work overtime occasionally, particularly for events* Ability to lift 40 pounds
