ChemoCentryx is searching for a Sr. Administrative Assistant in our Biology, Biometrics, Clinical and Regulatory group. They will report to the Senior Vice President, Global Regulatory Affairs and work out of our brand new state-of-the-art corporate center in San Carlos, CA. Our Administrative Assistants are the glue that keeps our team together and the driving force that keeps our business moving forward. The Administrate Assistant will be part of an impactful group and will support the SVP, Global Regulatory Affairs, VP, Biology, VP Clinical and VP, Biometrics. This is a high-visibility role that requires an advanced attention to detail, lots of flexibility, keen insight and resourcefulness and the ability to juggle projects with aggressive deadlines. This Administrative Assistant will work with a rapid pace, clear communications, a high level of discretion, critical thinking, and proficient judgement in handling sensitive and confidential information with advanced organizational and prioritization skills necessary for multitasking. Essential Duties and Responsibilities * Organize and maintain an efficient flow of information through the respective offices, address and respond to all phone calls and written communications, execute preparation of correspondence, contracts, presentations, and other materials. Screen and route mail as appropriate * Maintain the respective calendars and coordinate meetings both internal and external, conference calls, presentations, and interviews etc. * Maintain confidential files and contact information, process expense reports, ensure contracts and agreements are executed and routed appropriately * Arrange corporate travel plans for the senior management team including domestic and international flights, transportation, and lodgings and prepare itineraries and agendas and arrange conference fee payments * Provide training, coverage and support to other group administrators and partner within other support functions * Prepares travel and expense reports for charges on credit cards and employeereimbursement. * Prepares, coordinates, and distributes business information, data and reports. * Assists in preparing and maintain Gantt Charts for Clinical Programs in Microsoft Project * Takes minutes at departmental and cross functional meetings * Maintains the Virtual Data Room and the FTP Sites. * Assists with preparing for Due Diligence meetings. * Creates Contract Review Forms, enters purchase requisitions into the system * As team spirit is valued, roles and responsibilities may be revised dependent on business needs Requirements * High School education * 5+ year's general administrative experience or equivalent combination of experience and college level education * Proficient in Microsoft Office and Adobe Acrobat * Demonstrates success in being a trusted partner, maintaining confidentiality and professionalism in all situations * Presence in the office Monday through Friday with the willingness to respond after hours and on weekends as needed * Proficient in building and maintaining relationships of trust, respect and support with other administrative assistants * Demonstrates tact and confidence when dealing with executives at the highest level in the company * Discretion, diplomacy, and excellent judgment; high degree of integrity when dealing with confidential and sensitive information * Using independent and strong analytical skills with ability to make critical decisions with limited guidance in support of assigned VP/SVPs * Strong verbal and written communication skills to interface with internal and external partners * Detail oriented with high attention to organization and process * Approachable, resourceful, a problem solver, quick on your feet and out-of-the-box thinker * Resilient, ability to manage multiple projects and deliver quality work to deadlines Preferred Experience * Bachelor's Degree * Demonstrates ability in prioritizing conflicting needs; handles matters expeditiously, proactively, often with deadline pressures * Public Company experience and supporting multiple executives * Experience working with biotechnology and/or pharmaceutical companies ChemoCentryx is a biopharmaceutical company focused on discovering, developing, and commercializing novel therapeutics to treat autoimmune diseases, inflammatory disorders and cancer, primarily focused on orphan and rare diseases.
