Position Summary
We are seeking a confident, self-motivated individual to work as
the Practice Assistant on a team that supports one of our Senior
Partners in the Private Equity Group.
The support team consists of a Senior Executive Assistant, a Senior
Practice Group Assistant, a Business Development Senior Manager,
and a Chief of Staff/Senior Project Manager. The position will
report to the Chief of Staff/Senior Project Manager.
The support team works closely together and regularly supports and
covers each other. On any given day you may be asked to help:
manage a large project/client matter; compile marketing materials
for a pitch; collect an outstanding invoice; organize a meeting;
coordinate travel plans, etc. Therefore, the ideal candidate would
have a mixture of project management skills, business development
skills, and practice assistant skills.
This is a demanding position on a highly productive team with
significant client contact. The desired candidate must have a high
attention to detail and must be able to multi-task, excel in a
fast-paced, ever-changing environment, stay calm under pressure,
and be able to prioritize and coordinate work and events for the
partner as well as for the support team. Flexibility to work
outside standard business hours (including weekends) is required
for this role.
Essential Functions
Responsibilities may include but are not limited to:
Assist in project/matter management - help to monitor and control
workstreams for medium to large matters/projects
Develop full-scale project timelines, project plans, project
charter, process maps, RACI charts, communication, risk management
plans and reporting templates
Continually compare matter progress to budget utilization and
convey status
Proactively manage changes in project scope, identify potential
risks and devise contingency plans as appropriate
Manage multiple projects concurrently, juggling priorities,
deadlines and essential project management duties for each
respective project
Create and complete "after action reports" to facilitate the
continuous improvement of the execution of our legal project
management program and legal work at large
Assist with drafting engagement letters and creating budgets
Assist legal teams in defining project scope, goals and objectives
and deliverables
Following up on open items for the practice
Help to create content for pitches & proposals - developing agendas
and presentations by coordinating with business development
teammate
Manage and review calendar for upcoming weekly meetings, and
provide the PE team with company intel (CapIQ, Pitchbook, news) and
bios for individuals in preparation for meetings.
Assist with RFP Responses
Track news items and send note-worthy pieces to the Partner and
support team; similarly, leverage Bloomberg and Google for client
news and case filing alerts
Help prepare and supervise extensive billing; help to review
spreadsheets related to billing and collections; interface with
billing team to effectively manage and bring to completion
Proofread client materials (e.g., decks, presentations, emails,
etc.)
Assist with periodic Chambers and/or The Legal 500 submissions
Help to manage extensive contact list
Must be highly organized and detail oriented
Ability to work in a high intensity work environment with demanding
client expectations and tight timetables. Will require overtime
after regular work hours on weekdays, and on weekends. Hours will
be coordinated with other administrative staff as needed.
Requirements
Education: College degree or related experience required
Experience: Three to five years recent experience in the legal,
banking, or consulting field.
Skills: Ability to read and write English; excellent client service
skills; excellent communication skills, both verbal and written;
excellent computer skills; detail oriented. Strong verbal and
written communication skills. Knowledge of PowerPoint and Excel.
Proactive, motivated, and driven. Professional, ethical team
player. Strong interpersonal skills with the ability to work
effectively with people at all levels. Ability to think
proactively.
Other
Pay Range: $86,000 - $108,300. This represents the
presently-anticipated low and high end of Reed Smith's pay range
for this position. Actual pay may vary based on various factors,
including but not limited to location and experience.
Supervisory Responsibilities: None
Equipment To Be Used: Personal computer and other office equipment
such as telephone, calculator, fax, machine, copier, scanner,
etc.
Typical Physical Demands: Physical demands commensurate with job
duties.
Typical Mental Demands: Able to work effectively in a fast paced,
high pressure environment. Make judgment decisions and adapt to
changing work situations. Grasp and apply new ideas. Communicate
with various personalities at all levels.
Working Conditions: Works in a typical office setting. Occasionally
called upon to work hours in excess of your normal daily schedule.
This is a full time position; must be willing to work some
non-traditional hours and maintain flexibility. Must be willing to
be on call evenings and weekends.
